In2Data Conference

By registering for and/or attending In2Data (the “Conference”), hosted by BioMedGPS, LLC DBA SmartTRAK (“SmartTRAK”), you agree to the following Terms & Conditions.

1. Registration & Payment

Full payment is required prior to attendance. Registrations may be transferred to a colleague from the same organization at no charge with written notice to Info@SmartTRAK.com at least 5 days prior to the Conference start date. SmartTRAK reserves the right to refuse or revoke registration at its discretion.

2. Cancellations & Refunds

Cancellation requests must be submitted in writing to Info@SmartTRAK.com. Cancellations received 30 days or more prior to the Conference start date are eligible for a full refund, less a US$25.00 processing fee. After this date, registration fees are non-refundable. No-shows are not eligible for refunds.

SmartTRAK may cancel or reschedule the Conference due to circumstances beyond its control (including force majeure events). In such cases, liability is limited to a refund of registration fees paid. SmartTRAK is not responsible for travel or lodging expenses.

3. Program Changes

Speakers, sessions, schedule, and venue details are subject to change without notice. Views expressed by presenters not employed by SmartTRAK are their own and do not necessarily reflect those of SmartTRAK.

4. Code of Conduct

SmartTRAK is committed to providing a professional, respectful, and inclusive environment. Harassment, discrimination, or disruptive behavior will not be tolerated. SmartTRAK may remove any attendee violating this policy without refund.

5. Photography & Media Release

The Conference may be photographed or recorded. By attending, you grant SmartTRAK a worldwide, royalty-free license to use your image, likeness, and voice for promotional or editorial purposes. Attendees may not record sessions without prior written permission.

6. Intellectual Property

All Conference materials are protected by copyright and other intellectual property laws. Unauthorized reproduction, distribution, or use, including ingestion into artificial intelligence systems, is prohibited without prior written consent.

7. Privacy & Data Use

Registration information will be used to manage your participation and communicate Conference updates. Limited attendee information (such as name, company, and title) may be shared with sponsors. SmartTRAK does not sell personal information. Please refer to our Privacy Policy at https://www.smarttrak.com/privacy-statement for more details.

8. Liability & Assumption of Risk

Attendees assume all risks related to travel and participation in the Conference. SmartTRAK and its affiliates are not liable for injury, illness, loss, theft, or damage arising from attendance, except as required by law. Attendees are encouraged to secure appropriate insurance.

9. Sales & Marketing Activities

Commercial or promotional activities are restricted to approved sponsors and exhibitors and may only occur in designated areas. Unauthorized solicitation or distribution of materials is prohibited.

10. Accessibility

SmartTRAK is committed to providing reasonable accommodations. Requests should be submitted to Info@SmartTRAK.com at least 10 days prior to the Conference start date.

11. Acceptance of Terms

By registering for and/or attending the Conference, you acknowledge and agree to these Terms & Conditions and agree to indemnify and hold harmless SmartTRAK from claims arising from your participation.
